When a visit needs someone, the system ranks your clinicians and suggests the best matches. Five factors drive the ranking; you decide which count and how much.
Before you start:
Staff invited and active, with clinician roles assigned — see Add and manage staff.
Clinicians schedulable, with credentials and coverage current — see Make a clinician schedulable.
A System Administrator account.
Tune the ranking
1. Open Settings → Products → Scheduling. The Clinician ranking page lists each factor with a switch and a Weight slider.
2. Turn off any factor you do not want considered:
Factor | Rewards | Default weight |
Continuity of Care | Clinicians who have previously visited the patient | 30 |
Workload Balance | Clinicians with lighter schedules, to distribute work evenly | 15 |
Cost Efficiency | Lower-cost credential types when clinically appropriate | 10 |
Travel Distance | Clinicians closer to the patient | 5 |
Visit Clustering | Keeping a clinician's visits geographically close | 2 |
3. Drag each active factor's Weight slider (0–50). Heavier weight moves clinicians up the list more strongly.
4. Click Save Changes. (Reset to Defaults restores the starting values.)
New suggestions use the new weights immediately; already-scheduled visits do not move.
Note: Run the defaults for a couple of weeks, then adjust one factor at a time based on what schedulers actually override. If they keep swapping in the nurse who knows the patient, raise Continuity of Care; if drive time is the complaint, raise Travel Distance.
Suggestions are ordering only. They never override credential, episode, or authorization rules — see Assign a clinician to a visit.
Keep clinicians schedulable
Suggestions can only rank clinicians the scheduler can see. For each clinician, check the staff profile:
Scheduling & Coverage — schedulable flag and ZIP coverage.
Credentials — nothing expired; expired credentials block assignment.
Teams — membership and coverage, for territory routing.
See The staff profile for where each of these lives.
If something goes wrong
Scheduling is missing from Settings. It is not enabled for your agency (contact support), or your role lacks access (ask a System Administrator).
Suggestions ignore your changes. Confirm you clicked Save Changes. A factor with its switch off contributes nothing regardless of its slider.
A clinician never ranks well despite the weights. Ranking cannot fix eligibility — check their license, role, and scheduling toggle first (Make a clinician schedulable).
