Scheduling FAQ

Answers to the scheduling questions agencies ask most.

Access and setup

Why do I not see Scheduling on the web? Scheduling is not enabled for your agency, or your role does not include it. Ask your administrator.

Why can I view scheduling but not assign visits? Assigning requires a scheduling role with write access. Read-only roles (for example Surveyor) can look but not change.

How is clinician availability determined? The staff profile holds the clinician's typical working schedule and approved PTO. Both feed availability and the fit suggestions.

Does the suggestion algorithm consider full-time versus PRN? Yes. Employment type is captured on the staff profile and feeds the ranking. The weights are configurable per agency — see Configure scheduling.

Can I override the default clinicians for a coverage area? Yes. The patient's team is auto-selected from the address but editable on Patient Info, and you can set the primary RN/PT on the care team. Changing the team does not reassign existing visits — it updates future suggestions. You can always search past the suggestions when assigning.

Visits and offers

What happens when a clinician declines a visit? The offer shows Declined on the Pending Visits tab with the reason in Notes. The visit does not restaff itself — reassign or reschedule it from the row. See Work declined offers and returned visits.

Why can't the clinician accept a visit scheduled for next week? Offers open the day before the visit. Until then the card reads "Available to accept the day before the visit."

Why can't I change a visit's type? Once a clinician accepts a visit, its type locks. Have them send it back from their phone, then reassign with the correct type.

What is the difference between a missed visit and a returned visit? Missed: the visit cannot happen at all (hospitalization, refusal). The reason is documented, the provider is notified, and the visit is not re-plotted. Returned: the visit still needs to happen — it comes back as a reschedule (different day) or reassign (different clinician) request.

Why do providers have to be notified about missed visits? Three reasons: the regulatory paper trail requires it; a miss inside an ordered frequency (for example 2W6) means the order may need modification; and repeated misses are a patient-compliance signal the provider must be part of.

Can an entire episode be assigned to one clinician at once? Yes — in the assignment window, select all the visits before finalizing.

Can a sick clinician's day be bulk-reassigned? Today, drag visits one at a time between rows on By Clinician. Bulk reassign from those screens is on the roadmap.

Rules you may hit

Does the calendar budget different durations for different visit types? No. Scheduled visits are not assigned type-based durations — how long a start of care versus a discharge takes is determined by the clinician in the home. Workload is balanced by productivity points instead — see Visit types.

Why will the system not let me schedule on the date I chose? A guardrail stopped it: the date is outside the episode, outside the Medicare week, or a duplicate visit type already sits on that day. The on-screen message names the rule.

Why can't I see the visit after an order was entered? The order has to include the Calendar content type and be approved before scheduling has a visit to place. See I entered an order. Why can't I see the visit?.

Can an SN visit move between RN and LPN? Yes — SN visits can be performed by an RN or LPN. RN-specific visit types cannot go to an LPN.

What does Do Not Move mean? The visit's day is clinically anchored (for example Monday/Thursday wound care). Moving it triggers a confirmation warning. Schedulers and clinical managers apply these tags; see Icons and badges.

Why is a clinician missing from the assign list? Check three things on their staff profile: the schedulable toggle is on, their ZIP coverage matches, and their credential fits the visit type and is not expired.

Oversight

Can I see who scheduled what? Yes. Each task has a clock icon that opens its audit log — what changed, who, and when. An agency-wide audit lookup lives in Settings → Agency Profile.

Are missed-visit provider notifications automated? A prefilled template is generated for you to download and send, and the notification is recorded in the chart's Notes tab. Automated delivery by the provider's preferred method is on the roadmap.
