Make a clinician assignable

License on file, right role, scheduling toggled on, territory set.

A clinician appears in the assign list when three things are true: a current license on their profile, the right role, and scheduling turned on. Work them in that order when someone is missing.

Add the license

  1. Open Settings → Agency Management → Staff and open the clinician's profile.

  2. Open the Credentials tab, then Licenses & Certifications.

  3. Click Add License or Certification.

  4. Set Credential type to Professional License and pick the License type / discipline — RN, PT, OT, SLP, LVN/LPN, MSW/LCSW, HHA/CNA.

  5. Enter the License number, Issuing body, State / jurisdiction, Issue date, and Expiration date, and attach the proof document.

  6. Click Add credential, then use Mark as verified on the row once it has been checked.

Warning: An expired credential removes the clinician from assignment suggestions and badges them Expired Creds. Watch the Expires column — the fix is a renewed license on the profile, not a workaround in scheduling.

Check the role

  • The profile's Primary Role is the clinical discipline — RN, PT, OT, SLP, HHA, MSW. Suggestions match clinicians to visits by discipline, so a wrong primary role hides them from the visits they should get.

  • System access is separate: on the staff roster, open the row menu → Manage roles and confirm Clinician is among their system roles. System roles control access and permissions, independent of discipline.

Turn scheduling on

  1. On the profile's Overview tab, find the Scheduling card.

  2. Turn on Allow scheduling. When it is off, the clinician does not appear as available for new assignments — existing visits stay visible, but nothing new can be given to them.

Turn it on when the clinician is operationally ready — orientation, background check, competencies — per your agency policy. Licenses and roles alone do not make someone schedule-ready.

Note: The clinician does not need to have accepted their invite to be assignable. Invite acceptance controls app access, not scheduling eligibility.

Dual-licensed clinicians

  1. Enter every license on the profile.

  2. Assign the role or roles the agency hired them to perform, with a job description supporting each function.

  3. Eligibility is evaluated per visit — they may qualify for RN visits and PT visits separately. Each visit is performed, documented, and billed under one discipline.

Help them rank well

Eligible is not the same as suggested first. Two more things feed the ranking:

  • Territory: on Scheduling & Coverage → Territory Coverage, click Add ZIP to define their coverage area with Primary or Secondary priority. Travel distance and clustering weigh into suggestions — see Configure scheduling.

  • Time off: clinicians on PTO for the visit date are skipped. Keep Time Off current so suggestions reflect reality.

If something goes wrong

  • The clinician still is not in the assign list. Check in order: Allow scheduling on, license unexpired, discipline matches the visit type, and no PTO on the date. Also check Patient Restrictions on their profile — a restriction against that patient blocks or warns on assignment.

  • The scheduling toggle will not turn on. A verified license matching the role is missing — add it under Credentials first.

  • They appear but rank at the bottom. Usually territory — no ZIP coverage near the patient. Add their real coverage area rather than overriding each assignment.
