Assign a clinician to a visit

Staff unassigned visits from the By Patient board.

Before you start: the patient needs an episode with a discipline plan. Visits are generated from ordered frequencies — no plan, no visits to assign.

Assign from By Patient

  1. Open Scheduling in the sidebar and select the By Patient tab. The board has three columns: Unassigned Visits, Reschedule Requests, Reassign Requests.

  2. In Unassigned Visits, click the visit card. The assignment window opens, titled for the action and patient — for example Assign SN Visit for Margaret Hale.

  3. Select the visits to staff. The header keeps a count, for example 3 of 7 selected. The calendar shows the episode with Medicare week boundaries drawn in.

  4. Read the information row: Patient Team, Past Clinician, Preferred, and Restricted tell you who has seen the patient and who must not be sent.

  5. Select a clinician from Top Ranked Clinicians. Suggestions are marked Suggested or Suggested - Best fit; clinicians who saw the patient before are badged Prior. To pick anyone else, use Search credential-matched clinicians....

  6. Click Finalize Assignments. The visit is sent to the clinician's phone as an offer and reads Pending until they accept.

Compare fit and workload on the left with the episode calendar on the right before assigning.

Repeat steps 5–6 if different visits go to different clinicians.

Note: Suggestions are ordering, not rules. Ranking weights are set in Settings by an administrator — see Configure scheduling — and never override episode, authorization, or credential rules.

What the clinician sees

The visit appears on the clinician's Schedule tab as an offer they Accept or Decline. Track every offer on Pending Visits: see Work declined offers and returned visits.

If something goes wrong

  • "Cannot assign: clinician credentials expired." Pick another clinician for now; the fix is a renewed license on the staff profile — see Make a clinician assignable.

  • "Clinician is restricted from this patient and cannot be assigned." Pick another clinician. The Restricted row warns you before you try.

  • "Clinician is not eligible to perform this visit type." Discipline and visit type must match — an RN cannot take a PT visit. SN visits can go to an RN or LPN; RN-specific visits cannot go to an LPN.

  • "Cannot schedule outside episode date range." Pick a date inside the episode, or have the episode dates corrected first.

  • "No ranked matches for the selected visits." Nobody scored into suggestions. Use the search box and pick from the full list.

  • A clinician you need is missing from the list. License, role, and the Allow scheduling toggle all have to be right on their staff profile — work through Make a clinician assignable.
