The staff profile

The seven profile tabs and what each one controls downstream.

Everything the system knows about a staff member lives on one profile. Open it from Settings → Agency Management → Staff → click the person on Active Users. Seven tabs; each card edits in place from its header control and confirms when saved.

What each tab controls downstream

The profile is not just a record — scheduling, assignment, and compliance all read from it:

  • Primary Role (Overview) is the clinical discipline. Suggestions match clinicians to visits by discipline; a wrong primary role hides them from the visits they should get.

  • Allow scheduling (Overview) is the master switch. Off means no new assignments, though existing visits stay visible.

  • Credentials gate assignment. An expired license removes the clinician from suggestions and badges them Expired Creds — watch the Expires column.

  • Territory Coverage and Time Off (Scheduling & Coverage) feed ranking: travel distance and clustering use their ZIPs, and PTO on a date skips them for that date.

  • Patient Restrictions block or warn on assignment to specific patients.

The full recipe for getting a clinician into the assign list is in Make a clinician schedulable.

Roster actions

Actions on the person as a whole live on the Staff roster, not the profile: the row menu has Manage roles (system access roles, separate from clinical discipline) and Deactivate user. See Add and manage staff.

If something goes wrong

  • An edit did not stick. Each card saves independently — look for the card's confirmation message. An edit abandoned mid-card is discarded when you navigate away.

  • The person has the right license but still cannot be assigned. Credentials alone are not enough — check Allow scheduling and the Primary Role on Overview.

  • You need to change what someone can access. That is a system role, managed from the roster's Manage roles, not from any profile tab.
