Assigning is not the end: the clinician has to accept. Track every offer on Pending Visits, and work what comes back on Overview.
Track offers
Open Scheduling and select the Pending Visits tab.
Read the three summary cards. Click a card to filter the table; click again to clear.
Card | Counts |
Pending Visits | Offers awaiting a response for visits dated today or earlier |
Accepted Today | Accepted offers with a visit date of today |
Declined Today | Declined offers with a visit date of today |
Note: The cards use the visit's scheduled date, not the date the clinician responded.
The table shows Visit Date, Patient, Discipline, Visit Type, Clinician, Status, and Notes. Offer statuses: Pending, Accepted, Declined (reason in Notes), Expired, Cancelled.
Handle a decline
Filter with the Declined Today card or sort by Status.
Read the clinician's reason in Notes.
Open the row menu and choose Reassign (different clinician) or Reschedule (different day). The same assignment window opens as on By Patient. Finalize, and the new offer goes out.
Work returned visits
Visits a clinician sends back from the field (reassign or reschedule requests, with reasons) land in two places:
The Returned Visits panel on the Overview tab.
The Reschedule Requests and Reassign Requests columns on By Patient.
Open the card, read the reason and summary, and restaff or move the visit in the assignment window.
If something goes wrong
A pending offer's visit date has passed. The visit arrived with no answer. Reassign it or call the clinician.
The clinician says they cannot accept yet. Offers open the day before the visit. No action needed.
An offer shows Cancelled and nobody cancelled it. Offers cancel automatically when the underlying visit changes (rescheduled or reassigned before the answer). Check the visit's current state on By Patient or By Clinician.
You cannot reassign an accepted visit from this table. Accepted offers have no row actions here. Drag the visit to another clinician on By Clinician, or ask the clinician to send it back from their phone.
