Work the orders dashboard

Track every order from approved to signed and filed, and chase the ones not moving.

Orders in the sidebar is where every approved order gets chased from ready-to-send to signed and filed on the chart. The dashboard exists to answer one question: which orders are not moving, and what does each one need next?

Filed orders drop out of the default list — set the status filter to Filed to see them. The table shows each order's Date, Age, Patient, Order Type, Provider, Status, Last Sent, Assigned, and Issues.

Work an order

  1. Click a row. The order opens with Order Details and Signature & Sending expanded — service date, due by, order age, last sent, and View PDF Preview.

  2. Take the action the status calls for:

    • Ready to Send — click Send. The Send via options badge the provider's Preferred channel, and Provider Rules shows send-day and contact quirks.

    • Awaiting Signature — Resend or send a Reminder. On the order profile, Mark as Declined and Attach Signed PDF are also available.

    • Returned — read the provider's reason, use Send for correction, or Escalate to Manager.

    • Failed to Send — fix the destination (see The provider library) and Resend.

  3. Set the Next follow-up date — it is auto-suggested from the provider's rules — or Create follow-up task to put the next touch on someone's task list.

  4. Use Claim, Reassign, and Release to manage ownership; select several rows for a Bulk Reassign.

File the signed copy

A signed order is not done until the copy is on the chart:

  1. Automated returns — the QR-coded fax match and eSign — attach themselves (Transmission options).

  2. For a manual return, open Document & Filing → Link Document and select the signed document from inbound documents. The order moves to Signed – file to chart.

  3. Click File to Patient Chart. The order goes Filed, the timeline records it, and it leaves the active list.

Watch aging

The Age column is the working priority. Past 30 days an order turns red and joins Overdue / High Risk — at that age, stop resending and get the provider's office on the phone. The Issues column flags what is specifically wrong: Signature Overdue, Transmission Failed, Provider Questions, Needs Calendar Update.

If something goes wrong

  • An order sits at Awaiting Signature for weeks. Check Last Sent and the provider's Preferred Method — a stale fax number strands orders silently. Fix the directory entry, resend, and set a follow-up date.

  • A signed copy came back but the order still shows Awaiting Signature. The return did not auto-match — link it by hand from Document & Filing → Link Document.

  • An order is signed but still on the list. It is Signed - Unfiled — click File to Patient Chart to finish it.
