A routine provider order captures a change to the plan: medications, diagnoses, visit schedule, vital sign parameters, procedures, or goals. The Review Provider Order task is where the Clinical Manager checks it before it locks.
Once an order is approved, it cannot be edited. Every correction after approval needs a second action, so review both the wording and the chart updates before approving.
What approval checks
You are checking two things:
Area | What to confirm |
Order description | The order is complete, specific, and clear enough to stand on its own. |
Content type tabs | The chart updates match exactly what the order says. |
An order can be worded correctly and still be wrong if the tabs were not updated. It can also have the tabs filled in and still be wrong if the description is vague.
Read the order
1. Open the task from Tasks. The Order Details card summarizes the order:
Field | What it tells you |
Type | Written (from an uploaded provider document) or Verbal |
Order Date | The date of the visit that generated the order — it does not change when the order is held, reviewed, or approved |
Send to Physician | Whether this order goes out for signature |
Order Entry Date / Time | When it was entered in the system |
Order Obtained Date / Time | When the order was actually obtained from the provider |
Primary Physician | Who signs the order |
Secondary Physician | Receives an informational copy — they are not asked to sign |
Entered By | The clinician who entered it |
2. Below the details, read each change section the order carries: Medication Updates (with Added, Discontinued, and Held badges), Diagnosis Changes, Calendar Updates, Vital Sign Parameters, Wounds & Procedures, Interventions & Goals, and the Order Description.
3. Keep the Docs panel open on the right to compare against the source documents.
Check the description
Before approving, confirm that:
Specific dates are stated when dates are required.
Frequency and duration are spelled out.
The discipline is named.
The reason or clinical rationale is present.
The wording is unambiguous.
Nothing is implied.
If it is not written in the order, it is not ordered.
Edit before approving
Click Review / Edit Order. The order form opens on Order Details — creation date and time, Type, Signing Provider, Communicated With (required for verbal orders), Entered By, obtained date and time, and Secondary Provider.
Order Type checkboxes control which content steps the order walks through: Medications, Diagnoses, Calendar, Vital Sign Parameters, Procedures, Interventions & Goals.
Work through each selected step, then Review & Complete and Save Changes.
Saving changes returns you to the review task. You still have to click Approve Order on the task screen to approve the order.
Plot visits on the calendar
When the order includes a Calendar change, the Calendar Change step is where the frequency becomes actual visits:
Click an empty day and choose Add Visit — set the Date, Discipline, and Visit Type.
Drag a plotted visit to move it within its week.
Use Bulk Edit to select several dates at once and add them together.
The Updated Visit Frequency readout recalculates as you plot, color-coded by discipline (SN/RN, PT, OT, HHA/MSW, PRN).
The plotted calendar is the frequency — what you place here is what the clinician sees on their schedule and what the order documents.
Approve and send
Auto-send controls delivery after approval. It does not decide what goes out. Use order entry and Clinical Manager review to correct the provider, type, description, content type tabs, and Send to Physician before approval.
Back on the review page, click Approve Order.
Your signature is added to the order as the Clinical Manager cosign.
Enzo locks the order and checks whether it should go to the provider.
If Send to Physician is enabled and the provider has a configured route, Enzo sends it by the provider's preferred method: eSign (DocuSign), Fax, or Email.
If the order needs manual handling, Medical Records works it from Orders.
Track it through Ready to send to Awaiting signature, Signed, and Filed on the orders dashboard. See Work the orders dashboard.
For a verbal order, the signature trail may include the provider order, the provider's agent, the field clinician, and the Clinical Manager cosign.
Signed returns from automated channels — the QR-coded fax match and eSign — attach themselves to the order. A signed copy that arrives outside those channels is attached by hand: open the order → Attachments → upload the signed document. See Transmission options.
Note: A returned or declined order comes back with the provider's reason — correct it and resend from the Orders page. See the Orders and plan of care FAQ.
If something goes wrong
The order did not go out after approval. Open it on the Orders page; if it sits at Ready to send, send it from there and check the provider's delivery method — see The provider library.
The calendar step will not accept a visit. The date is outside the episode. Check the episode range shown on the calendar before plotting.
Wrong signer on the order. Edit the order and change Signing Provider before approving — after it goes out for signature, it has to be corrected and resent.
The visit did not appear on the calendar. Confirm the order included the Calendar content type and was approved. See I entered an order. Why can't I see the visit?.
The order was approved with the wrong wording or missing tab update. Use the right correction path — see Correct an approved order.
