Routing, grouping, sub-grouping, board view, sorting, and team filters.

How the task list can be routed, grouped, viewed, and filtered — and what to do when the default view does not fit how you work. For the full workflow, see Task routing, filters, and statuses.

Routing and assignment

Should we manually assign every task to a person? You may, but it is not required. Tasks route by role, so anyone with the assigned role can see the task. Assign a named person when one person should own follow-up.

What is different about Intake? The intake workflow may use round robin, role routing, or other configured assignment rules. Outside intake, tasks usually route by the role that owns the next action.

What if a task is already assigned to the wrong person? Correct the assignee to Unassigned or choose the specific person who should own follow-up.

Does grouping by assignee reassign tasks? No. Grouping changes the view only. It does not move ownership.

Grouping

How can I change how tasks are grouped? Open the display options control (the sliders icon above the list). Under Grouping, pick one of: Status, Priority, Department, Task Type, Assignee, Patient, Payor, or None. Groups render as collapsible headers with a count; Completed and Cancelled start collapsed.

Can I group two ways at once? Yes. Sub-grouping offers the same options and nests inside the main grouping — for example, group by Assignee and sub-group by Priority to see each person's work ranked. The option already used for the main grouping is marked (used in grouping) and cannot be picked twice.

What is the default? The default view is Active, grouped by Status, sorted by Newest, in List view.

Which grouping should I use? Whatever matches the question you are asking. Working your own queue: filter to the right role, team, or department, then group by Status. Reviewing current workload: group by Assignee. Chasing one patient's episode: group by Patient — or open the patient's chart Collaboration tab, which is the same tasks scoped to that patient.

Views and sorting

Is there a board view? Yes — under View Mode, switch between List and Board. The board lays the groups out as columns.

How do I sort within groups? Under Ordering, Sort by offers Newest, Oldest, and Priority. Sort by Priority when the list is long and you need to work top-down.

Empty groups clutter the list. Can I hide them? Turn on Hide empty groups under List options.

Filtering and teams

Can I see just my team's tasks? Yes — add the Team filter and pick the team. Task filters and grouping are independent: filter to your team, then group however you like. See Teams and coverage for what team membership controls.

Why did a task disappear? Clear filters first, then check the Completed tab. If the task may have been cancelled, open display options and turn on Show cancelled tasks.

Grouping did not move a task where I expected. Grouping only arranges the list — it does not change ownership or routing. To fix a whole category landing in the wrong place, fix the routing rule under Settings → Task routing. See Work your tasks.
