Work the fax inbox

Triage incoming faxes: review, route, archive.

The Fax Inbox is where incoming paperwork lands — faxes and documents from referral sources, physicians, and partner systems. Each document gets read, classified, and routed from here.

Triage the queue

  1. Open Fax Inbox in the sidebar. Documents list newest first; sort by Most recent, Oldest first, or Alphabetically.

  2. Filter by Status or Type (Referral, Physician Order, Other), or search. Sources show as Fax or Forcura.

  3. Click a document to open the preview and its details.

Route a document

With the document open, take the action that fits:

  • Send to Intake — for referrals and anything that starts an admission. It appears in the intake team's queue: see Work a new referral.

  • Mark as Needs Review — when you cannot tell what it is; it stays flagged for a second look.

  • Link Document — attach it to a patient's chart: see Link documents to patients.

  • Archive — junk faxes and copies that need no action.

  • Delete — only for documents that should not exist in the record at all. Select several to delete in bulk.

Note: Work the queue to empty on a schedule. A referral sitting unread in the fax inbox is a patient nobody is admitting.

If something goes wrong

  • A document you expect has not arrived. Filter to all statuses and search the sender's name — it may have been classified as Other or flagged Duplicate.

  • A document is stuck in Processing. Give it a few minutes; if it does not move, mark it Needs Review and work it by hand from the preview.

  • Something was archived by mistake. Filter status to Archived, open it, and route it normally — archiving does not destroy anything.
