Entering an order does not always create a visit by itself. A visit appears on the calendar when the order includes calendar content and the order is reviewed and approved.
Check the calendar content
Open the order and confirm that the Calendar content type was selected.
If the order description says to add a visit, the Calendar tab must show the visit on the ordered date. If the description says "extra visit on 8/5/26," the Calendar tab must show 8/5/26.
If the Calendar content type was missed, scheduling does not have a visit to assign.
Check the review task
Orders entered from the patient chart still need clinical review. Go to Tasks and look for the related task:
Review Provider Order
Review Plan of Care
Review Add-on Eval
Clear task filters and check To Do. Assignee, Status, Team, and Department filters can hide open work.
Check the ordered week
Visits are tied to the ordered frequency and Medicare week.
Scheduling can reschedule a visit within the same ordered week when the ordered frequency is still met. If the visit moves into another week or exceeds the ordered frequency, mark the current visit missed and confirm whether a new order is required.
For example, if a re-evaluation was missed last week and there are no ordered visits this week, confirm whether a new order is required before placing that re-evaluation on this week's calendar.
If the patient declined a service
If a patient declines ongoing visits, enter an order to discontinue that service. In the order, select the Calendar content type and remove the remaining visits from the calendar.
After review and approval, the calendar reflects the discontinued visits.
If the visit is urgent
Do not rely only on the task queue for same-day care. Send a separate communication to the appropriate Clinical Manager or agency contact so the order can be reviewed quickly.
If something goes wrong
The order is approved but the visit still is not visible. Reopen the order and confirm the Calendar tab matches the description.
The visit is visible but cannot be assigned. Check whether the clinician is schedulable and credentialed for the visit type.
The task is assigned to the wrong person. Set the assignee to Unassigned or select the person who owns follow-up.
