Medicare requires an accepted Notice of Admission within five calendar days of every start of care. A late NOA reduces payment for the period. NOA Management tracks each admission against that clock and submits automatically once the checks pass — you step in when something blocks it or Medicare rejects it.
Read the queue
Open Billing under Admin, then the NOA Management tab. The red badge counts NOAs at risk.
Four tiles summarize the queue: Needs Action, Submitted, Accepted, Late / Rejected. Drain Needs Action and Late / Rejected every morning.
Each row shows the Day count — it turns into a red badge such as Day 7/5 once the five days are up — plus Due Date and Blockers.
Clear blockers
Click a row to open the NOA Detail. Prerequisites lists what Medicare requires:
Active Medicare coverage with valid MBI
Demographic discrepancies resolved
Patient address and service location confirmed
Provider identified (individual NPI + PECOS)
SOC visit completed (time in/out)
Valid PDGM primary diagnosis on the episode
A failing row explains what is missing and links to the place in the chart to fix it.
After fixing, click the refresh control next to the Prerequisites heading to re-run the checks.
Once every prerequisite passes, the NOA submits automatically. Submit to Medicare at the bottom pushes it immediately.
Track after submission
Statuses walk from Submitting → Submitted → Acknowledged (clearinghouse accepted) → Accepted (Medicare accepted — done). While an NOA sits in Submitted or Acknowledged, click Poll for acknowledgment to check for a response now.
Fix a rejection
A rejected NOA shows a red banner with the rejection code, Medicare's reason, and a Recommended action.
Follow the recommended action — the fix is usually in coverage or the chart.
Tick I have reviewed and corrected this rejection.
Click Resubmit. The button stays disabled until the checkbox is ticked and the checks pass again.
If something goes wrong
Resubmit is disabled. The confirmation checkbox is not ticked, or a prerequisite is failing again. Both must be clear.
An NOA was filed in error. Cancel NOA… appears only after Medicare accepts it. While it is Submitted or Acknowledged, poll for the acknowledgment first.
The NOA is already late. Submit anyway — the day badge shows how late. Late filing carries a payment reduction; flag it for your billing lead.
